- Clinic details: name, address, registration and billing information
- Patient and clinical data entered by your clinic staff in the course of care
- Usage and audit logs: login times, actions in the system, device/browser data
- Support communications when you contact us
How we use information
We use personal information to:
- Provide, maintain, and improve Clinic Assistant
- Authenticate users and enforce role-based access
- Onboard and train clinic staff (Premium plan)
- Process billing and support requests
- Meet legal obligations and protect security
Patient data and clinic responsibility
Clinics using Clinic Assistant are responsible for patient information they capture. We act as an operator processing data on the clinic's instructions. Clinics must obtain valid consent where required, keep data accurate, and use the system in compliance with POPIA and professional standards.
Sharing and disclosure
We do not sell personal information. We may share data with infrastructure providers (e.g. hosting, email) under contract, when required by law, or to protect rights and safety. Sub-processors are chosen with security and confidentiality in mind.
Retention and security
We retain information while your account is active and as needed for legal, billing, or dispute purposes. We apply technical and organisational measures including encryption in transit, access controls, and audit logging. No system is perfectly secure; report concerns to info@pntconsulting.co.za.
